Bulimba Outside School Hours Care (OSHC) is a large service that provides the community with quality before/after school and vacation care. With a large focus on child development, the centre encourages valuable activities such as crafts, science, cooking and spontaneous, child-initiated play. They also allocate time for quiet activities like homework. Bulimba OSHC actively seeks input and feedback from educators, children and families to evaluate their weekly program and connect with the community that’s important to them. It was due to parent feedback that encouraged the centre to switch to Xap’s childcare management software.
Sally, the P&C Services Manager, explains “We had been using the same system for many years and the parent platform was not meeting our needs as a large service. The feedback from parents was that the old system was hard to navigate and that they wanted to be able to manage all parts of their account on an app, rather than having to use a web portal for parts.”
Bulimba OSHC was looking for a system that was easy to navigate and allowed flexibility to meet the demands of the large centre. Sally wanted to find a provider they felt would listen to their feedback and would be able to cater to the OSHC aspects of childcare, “We felt that Xap was a company who was willing to take on feedback to ensure the software worked for all their customers.”
The migration process can be challenging when moving from one childcare management software to another, but the team at Bulimba OSHC felt that Xap was able to give them the support they needed. Sally noted; “The onboarding process and support has been really personalised. I loved that Dee and Amber provided awesome training to answer all our questions. The whole Xap team have been really supportive, and we feel like our feedback and ideas will be listened to and looked into.”
Once the centre was onboarded and the system had been customised to their needs, Sally and the team were able to use Xap’s childcare management software to its full capabilities. “The automated services as part of the system have been a lifesaver. We love that the system works hard in the background and alerts us to any issues that may arise with CCS or parent accounts”, Sally explains.
Parent feedback was also important due to it being the main aspect of the change. “Parents have had overwhelmingly good feedback about the app. They especially love that it’s a ‘one-stop shop’ that they can access all their account info and easily manage all aspects of their account from their phone. The app notifications to parents have been a welcome surprise. They love the timely notifications and staying informed.”
